Personal Photography Agreement

Introduction

Researchers wishing to use a personal camera, tablet or smartphone to photograph archival or special collections material in the Reading Room must read and comply with this Agreement before doing so.

This Agreement applies to all researchers undertaking personal photography in Dublin City University Library Archives & Special Collections (A&SC). Personal photography is authorised solely for the purposes of personal, non-commercial research or private study.

Confirmation that you have read, understood and agree to comply with this Agreement is provided through the Archives & Special Collections Appointment Request Form or, where applicable, before personal photography is permitted.

By agreeing to this Agreement as part of the Archives & Special Collections Appointment Request Form, I agree to:

use any digital images I create solely for my own personal, non-commercial research or private study;
not reproduce, publish, exhibit, broadcast, distribute or otherwise make these images publicly available without the prior written permission of Archives & Special Collections and, where applicable, the permission of the relevant rights holder;
handle all collection material with care and not use flash photography, hand-held scanners or any equipment that places physical pressure or weight on collection material;
comply with the Copyright and Related Rights Act 2000 and all other applicable copyright legislation and acknowledge that I am responsible for obtaining any necessary permissions for subsequent publication or reproduction;
use any personal data relating to living individuals only for lawful historical research or private study in accordance with applicable data protection legislation;
comply with all Reading Room Rules & Procedures and any instructions issued by A&SC staff relating to personal photography;
understand that A&SC may refuse or withdraw permission for personal photography where these conditions are not complied with or where photography may place collection material at risk or interfere with other Reading Room users;
understand that if I subsequently wish to reproduce, publish, exhibit, broadcast or otherwise make any images publicly available, I must submit a Copy Request & Publication Request Form and obtain any necessary permissions from Archives & Special Collections and, where applicable, the relevant rights holder.

Referencing & Citation

When citing or referencing material consulted in Archives & Special Collections in publications, theses, or research, please use the following citation format:

Special Collections

[Author], [Title] ([Publisher, Date]), Dublin City University Library, Archives & Special Collections, [Shelfmark/Call Number]

Example: Austin Clarke, The Cattledrive in Connaught and Other Poems (Hermitage Press, 1925), Dublin City University Library, Archives & Special Collections, SC 821/CLA.

(Please note: These citation formats relate only to acknowledging archival and special collections material in research outputs. They do not grant permission to reproduce, publish, exhibit, broadcast or otherwise make digital images publicly available. Permission for such uses must be obtained by submitting a Copy Request & Publication Request Form.)

Compliance

Before undertaking personal photography in Dublin City University Library Archives & Special Collections, researchers must read and comply with this Agreement.

Confirmation that you have read, understood and agree to comply with this Agreement is provided through the Archives & Special Collections Appointment Request Form. Where the Appointment Request Form has not been completed, researchers must read, complete and accept this Agreement before personal photography is permitted in the Reading Room.
