INFORMATION FOR AUTUMN 2019 GRADUANDS

Confirmation of Attendance

Graduands will receive an email invitation to their graduation ceremony in early October from our online ticketing system, Eventbrite. Please ensure that you are monitoring your DCU email account as this will be the sole means of communication.

Following receipt of the email invitation from Eventbrite, graduands are asked to confirm their attendance via the Eventbrite system no later than Monday, 28th October 2019

If you do not attend the ceremony, your award will be presented in absentia. Following the graduation ceremonies, your parchment will be issued to the postal address recorded on the University's Student Information System. Please ensure this is up-to-date on your Student Apps Page. Your address can be found under the ‘Biographical Details’ link of the 'My Details' section.

Please note that your name will appear on your parchment as it appeared on your most recent statement of examination results. This is also how your name is recorded on the University's Student Information System.   

Guest Tickets

Each graduand is permitted to bring up to two guests to the ceremony. Guests and graduands will be seated separately and graduands do not require a ticket. Guest tickets are available for graduands to print directly from our ticketing system, Eventbrite. Graduands will receive details via their DCU email account where a link will be provided enabling you to register for and receive your guest tickets. Please note you must have indicated that you are attending the ceremony before your guest tickets can be printed.  We strongly recommend that all guest tickets are printed to facilitate the smoothest possible access to guest seats. There is an option to use mobile tickets for this event but you must ensure that your guests have mobile access to these on the day. Failure to produce tickets may result in denied access to the ceremony. 

Please note that we are unable to accommodate children under five.  You are very welcome to bring children under five onto the campus but you should note that the Helix is not a suitable venue for them and their carers should therefore be requested not to bring them into the Helix building but rather to avail of the other services on campus.

Hire of Academic Dress (Robing)

Correct academic dress must be worn at graduation.  The University's official robing provider is Phelan Conan Ltd.  In order to avoid delays on the day of the ceremonies, graduands are strongly encouraged to pre-book their robes in advance. Phelan Conan Ltd. operates an online pre-booking facility at www.phelanconan.com

Online pre-booking of robes from Phelan Conan Ltd. will be possible until midnight on Friday 1st November 2019.  When booking your robes, it is essential that you select the correct Faculty and Award. 

Please Note: Due to the implementation of a personal 3D Secure password during the credit card payment process on www.phelanconan.com, Phelan Conan Ltd staff are no longer able to take bookings over the phone. This has been created to protect your online payments and if you don’t already have a 3D secure password you can activate it by following the simple instructions during the booking process. If you have any problems setting up your password, please contact your bank.

The cost of hiring a set of robes from Phelan Conan Ltd is €43.  If you do not pre-book and pay on the day, the hire fee is €45.

Collection & Return of Academic Dress (Robes)

Robes hired from the official provider, Phelan Conan Ltd., may be collected on arrival at the University from the robing room, which will be located in the Venue, U Building on Glasnevin Campus.  

Robes for all awards can be collected from the robing location on Glasnevin Campus. Please note, on 6th November only, graduands may collect their robes on either St. Patrick's Campus or Glasnevin Campus. This service is limited to the ceremonies scheduled on 6th November 2019. Please find the relevant robing schedules below for each campus:

We strongly encourage you to collect your robes on the day before your ceremony if possible. This will avoid excessive queues on graduation day.  If you are collecting your robes on the day of graduation then please allow adequate time for collection well in advance of the ceremony.  If you are not robed and seated at least 20 minutes before the ceremony begins, unfortunately it may not be possible to allow you to graduate in person.  You should, in addition, ensure that you are attired in a neat and presentable way.  It is strongly recommended that you bring safety pins and hair clips with you to secure your cap and hood.

Before leaving the University after the ceremony, any robes hired from the official provider, Phelan Conan Ltd., should be returned to the robing room. 

Other Providers & Code of Academic Dress

Where academic dress is sourced from a provider other than University's official provider, it is the graduand's responsibility to ensure that it complies with the University's Code of Academic Dress. Any graduand wearing academic dress which is not deemed to meet the University's requirements will not be permitted to graduate in person or may have to hire the correct academic dress on the day from the official provider at additional cost.

Fees and Library books

You must have paid all fees and cleared all debts to the University (including outstanding Library fines) by the morning of your graduation day.  You must also have returned all books to the Library otherwise you will not be permitted to graduate. 

Timetable and Location

The timetable for ceremonies is outlined on the Graduation Schedule. The location is The Helix on DCU's Glasnevin campus.

Doors will open one hour before the beginning of the ceremony and graduands and their guests are requested to be seated twenty minutes before the start of the ceremony. The ceremony is expected to last approximately one and a half hours. For your own comfort and that of your guests, we ask you not to arrive at The Helix more than an hour early. We ask you not to arrive at the Helix more than 1 hour before your ceremony. In particular, the Helix will not be open before 9am. If you have time to spare, you are welcome to avail of the Restaurant on campus.

Access & Other Requirements

The venue for the ceremony, the Helix, is wheelchair accessible.  However, if you or your guests require assistance to access the venue or other parts of the campus, it is essential that you contact us in advance (see Contact Details below) so we can provide the service you need.  It is particularly important that you let us know of any difficulty you may have in accessing the stage to receive your parchment.  It is accessed by a short flight of steps (backstage ramp access is available).

Procedures on the day (including Graduand registration of attendance)

When you arrive at The Helix, you will be directed to the first floor to register that you are going to graduate in person. You will then be directed to your seat.  All graduands must be robed and seated at least twenty minutes before the ceremony begins.  The final roll-call will then be taken.  Anyone who has not signed in by this time will be deemed to be absent and will not have their name read. 

Following the academic procession and introductions, graduands’ names will be called out in alphabetical order by degree/diploma programme, and all graduands will go up to the stage in turn.  The Master of Ceremonies will direct you on when to approach the stage.  When your name is called, you should proceed onto the stage to receive your parchment.  It will be presented to you by the President of the University, Professor Brian MacCraith.  After you have accepted your parchment and shaken hands with the President, you should descend and return to your seat.

Please note that your name will appear on your parchment as it appeared on your most recent statement of examination results. This is also how your name is recorded on the University's Student Information System. 

Refreshments

Refreshments will be served in the Helix immediately following the graduation ceremony. Graduates, with their guests, should go to the relevant floor indicated in the Reception Schedule

Photographers/Framers

Lafayette Photography is the official graduation photography/framing provider for DCU graduation ceremonies. These services will be located in the U Building on Glasnevin Campus at the following times

For the best experience on graduation day, it is strongly advised to pre-book your photography online at  www.lafayette.ie, through the 'Graduation & Ceremony Photography' section. Online bookings will close at midday the day before your graduation day. Studios are open 2 hours prior to your ceremony and to avoid queues you can have your photographs taken beforehand. You do not need your parchment for your photographs as a prop will be provided.

All correspondence about photographs and frames should be conducted with Lafayette Photography not with the University. Contact details for Lafayette Photography are available at  https://www.lafayette.ie/Contact

If you wish to buy a frame elsewhere rather than availing of the frames available from Lafayettes, you should note that each parchment measures 10” (25cm.) in width by 14” (35cm.) in length.

Do not use any unofficial photographers who may be on campus, as some graduates have complained of non-delivery of photographs or poor-quality work by these photographers.

You may wish to note that your DCU e-mail address does not expire after you have left the University.  It is a lifelong address.

Car Parking & Public Transport

Please note that car parking spaces are very limited. Graduands and their guests are strongly encouraged to consider the possibility of using an alternative form of transport. All those arriving by car should come into the Glasnevin campus by the Collins Avenue entrance, and will be directed from there.  Most visitors will be directed to use the multi-storey car-park fronting Collins Avenue.  A charge payable on exit, will apply.   Details about public transport services are available at: https://www.dcu.ie/info/public_transport.shtml

Checklist

  • Ensure that you have confirmed your attendance/non-attendance for the ceremony via Eventbrite.
  • Ensure that you have printed off the tickets for your guests to attend the ceremony.
  • Refer to the Code of Academic Dress so that you know which type of robes you will need to hire.  If hiring robes from the official provider of academic dress, Phelan Conan Ltd., robes can be booked online at www.phelanconan.com.
  • Ensure that you are in good financial standing with the University having paid all fees and cleared all other debts (including outstanding Library fines) and having returned all Library books.
