Agresso and TORA Systems Upgrade - Downtime June/July 2023

As you will be aware, we recently completed Phase 1 of the Agresso and TORA systems upgrade and migration project in early March 2023.

Finance teams supported by colleagues in ISS, RIS and external service providers, have been working since March to prepare for the next go-live milestone for this large-scale IT project. Phase 2, which involves the conversion of the database and a number of other technical IT elements, requires the following system downtime to facilitate go-live:

  • Agresso and TORA systems will be offline for all users from 5pm on Tuesday 27 June 2023 until 4pm on Wednesday 5 July 2023

You will not be able to access Agresso or TORA during this period. The cut-off dates for the June 2023 month-end will be adjusted accordingly.  Therefore, please ensure that requirements for your area are planned for in advance, and that for example:

  • Purchase Orders: Please ensure that all purchase orders that are required to be raised by your area in the month (e.g. for booking flights with Club Travel, for completed tender competitions, new or renewing contracts, or capital projects) are approved on Agresso by 5pm on 26 June 2023.  
  • NIER: Please ensure that all NIER (Non-Invoice Expenditure Requisition) requests for the month are approved by 5pm on 21 June 2023
  • Agresso Approvals: Supplier invoices (or supplier credit notes) on Agresso awaiting approval by your area should be reviewed, followed up with the supplier where issues arise, and/or approved on Agresso where appropriate by 5pm on 21 June 2023
  • Core Expenses: Final core expense claims submitted to your area for approval, should be approved by 5pm on 21 June 2023
  • Sales Orders: Last sales orders (for invoices or credit notes) for the month should be raised on Agresso by 5pm on 26 June 2023
  • Research:  TORA submission deadlines will be indicated to applicants in advance by the Research Office (RIS)
  • Reporting: Any financial reports you require from Agresso are run before 5pm on 27 June 2023

Please ensure you are logged off from these systems by 5pm on Tuesday 27 June 2023. A notification will issue from the Finance Systems team on 5 July 2023 once Phase 2 go-live is completed, and end users can return to using the applications at this point.
