Privacy Notice: Collection of Committee Member Information

At Dublin City University (DCU), we are committed to protecting your privacy and handling your personal data with care. This privacy notice outlines how we collect, use, and protect your personal information in accordance with the General Data Protection Regulation (GDPR).

1. Data Collection:

Where information cannot be collected using the University’s CoreHR Diversity Screen (e.g. for committee members who are not employees of the University) we are collecting the following information from committee members via a Google Form:

  • Age (by three brackets: 18-39, 40-54, ≥55)
  • Citizenship/Nationality
  • Disability
  • Family Status
  • Gender Identity
  • Race/Ethnicity (including membership of the travelling community)
  • Religion
  • Sexual Orientation

2. Purpose of Data Collection:

This information is being collected solely for the University's Athena Swan activities, aimed at promoting gender equality and diversity in higher education and research. It will be used to assess and monitor diversity within our committees.

3. Data Usage and Sharing:

The data collected will be used strictly for Athena Swan purposes and will not be shared with any third parties. We will only report aggregated, anonymized statistics at the committee level. Individual committee members will not be identifiable in any reports or analyses.

4. Data Retention:

Your personal data will be retained only for as long as necessary to fulfill the purposes outlined in this privacy notice. Once the Athena Swan self-assessment report has been finalized, all individual data will be securely deleted.

5. Your Rights:

As a data subject, you have certain rights regarding your personal data, including the right to access, rectify, or erase your data. If you wish to exercise any of these rights or have any concerns about the processing of your data, please contact coo@dcu.ie.

6. Data Controller:

Dublin City University is the data controller responsible for the processing of your personal data in accordance with this privacy notice.
